As we approach the Summer, it is a great time to review your data protection activities and prepare any updates and changes ready for the new academic year or for businesses, as it starts to get busier.
We were allowed a grace period until the end of July to update procedures. After this, it is expected that processes are in place. So, we’ve put together a short summary of the things we would ask you to consider on a regular basis in relation to your Data Protection.
Questions to ask when reviewing your Data Protection activities
When was the last training session with staff? If it was 3 years ago when GDPR came into force, you need to do a regular update
When did you last check your Data Archive? These need to be kept in line with your retention schedule, so there may be things that need to be securely destroyed.
If you use a cloud based system, are there files you need to remove that you don’t need to keep anymore based on your retention schedule?
Have your risk levels changed? Have you added any new software or procedures that need to be assessed?
When did you last review your data policies? Things change all the while including legislation and policies should reflect the amendments including changing to the Data Protection Act 2018 and the introduction of Schrems II.
Have you got clear governance in place for monitoring Data Protection? Are those people aware of their responsibility?
Is it worth looking at a deep dive into policies, procedures and compliance with these on a regular basis?
